If you have a business with employees then processing your payroll is an inevitable part of your work. Payrolls have traditionally been completed by hand and can be very time consuming. However in this technological age there is now another option with online payroll processing. As with everything it is important to weigh up the pros and cons of this system.

An advantage of using an online system in order to complete your payroll is that it can save a lot of time. Often when completing your payroll offline you need to leave other jobs until later in order to get it done on time. It can take up a lot of time with having to check and enter the figures, then call or fax the information to the relevant people. You then need to wait for reports and checks to come back to you.

Completing your payroll online means that you are not confined to the office. You can complete it any where at any time so long as you have access to the internet. You can send the information via email and you can receive your reports back the same way.

With offline payroll processing there may be several people who complete parts of the payroll throughout the week or one person may have to decipher another person’s handwriting. This can result in there being errors. With an online payroll system there is less chance of mistakes being made as there only needs to be one person keying in the figures. You can set it so that the basic hours of your staff are automatically entered then you only need to add any changes. This will also save you time.

Online payroll processing can also provide you with greater security. You can password protect your files and there is no way that anything can be lost or damaged by any accidents or theft. The information is stored and waiting on you at any time.

Although there are a number of advantages it is important to consider the disadvantages as well. As any online system relies on you being able to access the internet you could run into problems if your internet connection is lost for any reason. In the event of this you will not be able to access your information. Also if you are the only one who knows the password then if you are not around for any reason then the payroll will not be completed. It is worth coming up with some fall back plans for these.
